About the Role:

BaptistCare is seeking an organised and customer-focused Administration Officer to join our 68-bed Residential Aged Care facility in Byford. In this role, you will support the smooth day-to-day operations of the site while ensuring our residents remain at the centre of everything we do.

Key Responsibilities

  • First point of contact for incoming calls and visitors.  
  • Manage administrative aspects of resident admissions and discharges, including applications and wait lists.  
  • Process accounts receivable/payable, place purchase orders, and manage office supplies.  
  • General administration: filing, mail, data entry, word processing, minute taking, photocopying.  
  •  Maintain records to meet internal/external reporting requirements.  
  • Liaise with internal stakeholders for travel, accommodation, and catering bookings.  
  • Develop and improve administrative processes.  
  • Ensure compliance with Occupational Safety and Health policies and Baptistcare’s Code of Conduct.  
  • Actively contribute to continuous quality improvement. 

About You

  • Experience in administration or reception
  • Proficient in Microsoft Word, Excel, and admin systems
  • Strong communication and interpersonal skills
  • Ability to manage competing priorities
  • Customer‑focused and team‑oriented
  • Alignment with BaptistCare values

Roster Pattern

  • Week 1: Tuesday, Wednesday, Thursday — 8:30am to 4:00pm

  • Week 2: Tuesday and Wednesday — 8:30am to 4:00pm
