About the Role:

BaptistCare is seeking an organised and customer-focused Administration Officer with rostering responsibilities to join our 85-bed Residential Aged Care facility in Albany. In this role, you will support the smooth day-to-day operations of the site, including coordinating staff rosters, while ensuring our residents remain at the centre of everything we do.

Roster: Monday to Friday, 8:30am – 4:00pm (no weekends)

Key Responsibilities

  • First point of contact for incoming calls and visitors.  
  • Manage administrative aspects of resident admissions and discharges, including applications and wait lists.  
  • Process accounts receivable/payable, place purchase orders, and manage office supplies.  
  • General administration: filing, mail, data entry, word processing, minute taking, photocopying.  
  •  Maintain records to meet internal/external reporting requirements.  
  • Liaise with internal stakeholders for travel, accommodation, and catering bookings.  
  • Develop and improve administrative processes.  
  • Ensure compliance with Occupational Safety and Health policies and Baptistcare’s Code of Conduct.  
  • Actively contribute to continuous quality improvement. 

Advanced/Level 3–4 Responsibilities:

  • Prepare and manage staff rosters, ensuring compliance with awards/agreements, staff availability, and budget.
  • Notify staff of rosters in advance; fill vacant shifts per protocols.
  • Manage leave and recruitment to maintain staff cover.
  • Create and maintain employee files; liaise with People & Culture for contracts.
  • Assist staff with pay enquiries and liaise with Payroll.
  • Draft and distribute staff correspondence (e.g., appraisal notifications, sick leave letters).
  • Lead and support other Administration Officers (Level 4).
  • Monitor compliance and participate in audits as required

About You

  • Experience in administration or reception
  • Proficient in Microsoft Word, Excel, and admin systems
  • Strong communication and interpersonal skills
  • Ability to manage competing priorities
