About the Role

BaptistCare is seeking an organised, customer‑focused Administration Officer to join our Residential Aged Care team at the David Buttfield Centre in Gwelup (105‑bed facility). This role supports the smooth daily operations of the site and ensures residents remain at the heart of everything we do.
Open to Level 2 or Level 4 applicants depending on experience.

Key Responsibilities

All Levels

  • Welcome visitors and manage incoming calls
  • General administration: data entry, filing, mail, word processing, minute taking and maintaining records
  • Support resident admissions and discharges
  • Process accounts payable/receivable, purchase orders and office supplies
  • Coordinate travel, accommodation and catering bookings

Level 4 – Additional

  • Prepare and manage staff rosters in line with Awards, agreements, budgets and staff availability
  • Support leave management, recruitment administration and employee records
  • Liaise with People & Culture on contracts and onboarding
  • Assist with payroll enquiries
  • Draft and distribute staff communications
  • Mentor and support Administration Officers
  • Monitor compliance requirements and participate in audits

About You (All Levels)

  • Experience in administration or reception
  • Proficient in Microsoft Word, Excel, and admin systems
  • Strong communication and interpersonal skills
  • Ability to manage competing priorities
  • Customer‑focused and team‑oriented
  • Alignment with BaptistCare values

Level 4 – Additional Requirements

  • Senior administration experience
  • Experience with electronic rostering systems (e.g., Kronos)
  • Ability to interpret Awards and Agreements
  • Strong leadership and ability to work independently
